ISP Personal Assistant Role Profile

Purpose of Role

The Personal Assistant (P.A) will ensure that the efficient operation of all office duties is delivered in the school. This role will be the first point of call for any enquires from external companies and will deliver a strategic approach to the organization that ensures employees can work as effectively as possible.

ISP PA Key Responsibilities

  • Microsoft Office, Word, Excel, PowerPoint (be the ‘Go To’ Person for queries on how to use these) Arranging Meetings.
  • Receive and screen visitors and telephone calls.
  • Point of contact for all service suppliers such as cleaning and maintenance companies when needed.
  • Book Meeting Rooms.
  • Minutes for Meetings.
  • Tea/Coffee for visitors.
  • Catering for meetings/lunches/functions as appropriate.
  • Assisting with presentations (if required) .
  • Establish and maintain office files, records, logs, indices, legal references and other information about the work.
  • Maintain a network of suppliers and vendors for the regional office and negotiate corporate rates agreements.
  • Schedule the manager’s calendar of activities, including making commitments for meetings, conferences, or other engagements.
  • Follow up and update regularly the Manager on the current and pending tasks/ actions.

Skills, Qualifications and Experience

Position Requirements:

Person specification

  • Excellent organisation skills
  • High proficiency with all Microsoft software packages including Word, PowerPoint and Excel
  • Familiar with complex filing systems
  • A team player

Competencies

  • High attention to detail
  • Ability to multi-task
  • Prioritises tasks and organises own time effectively
  • Ability to communicate with all levels of seniority confidently
  • Ability to deliver practical solutions to problems

Qualifications

  • Degree educated

Experience

  • A minimum of 2 years of office administration experience
