ISP Regional Facilities Project Manager - Iberia Role Profile

Purpose of Role

 

As ISP’s Regional Facilities Project Manager, you will be primarily responsible for ensuring the effective delivery of all assigned projects and compliant management of the Group’s growing regional property portfolio. You will play a key supporting role in the planning and delivery of school infrastructure expansion, enhancement, and renovation projects.  The role demands an ability to build strong relationships with individual school leaders, external stakeholders, and regional management team, while delivering positive outcomes at the local and regional level.

 

The Regional Project Manager – Iberia reports directly into the Regional Head of Property and Procurement – Iberia

ISP Regional Project Manager Key Responsibilities

  1. SUPPORT AND ADVISE
  • Timely report updates on any assigned projects
  • Support and advise the Head of School/s, School Business Manager/s and Director of Schools in all aspects of project management as requires.
  • Support and advise the Head of School/s, School Business Manager/s and Director of Schools in all aspects of required technical or cost aspect regarding school´s yearly capex expenditure.

 

 

  1. ENSURE BUILDINGS ARE SAFE AND COMPLIANT WITH LOCAL/REGIONAL AND NATIONAL REGULATIONS
  • Provide guidance and propose solutions for facility related H&S issues arising in regional schools.  Provide follow up training and support where necessary.
  • Support schools to effectively report and budget any H&S issue to be addressed, and collaborate with the H&S team to ensure compliance with H&S audits actions established deadlines.
  • Oversee all incident investigations at ISP locations.
  • Ensure that policies and application notes are updated for changes in local laws and regulations.
  • Provide facilities assistance if the school business is disrupted
  • Support school facilities teams if there is an emergency

 

  1. INFRASTRUCTURE ENHANCEMENT AND RENOVATION PROJECTS
  • Ensure successful delivery within time, scope, quality, and costs of all assigned projects.
  • Closely work with school teams during basic project phase definition according to approved scope and costs.
  • Always establish and ensure clear communication paths between contractor, architects, and school teams.
  • Fully design, tender and site manage, ensuring successful delivery of all assigned enhancements and renovation projects.
  • Conduct follow up visits to constructions works as required, as well as timely report all visit minutes and project status.
  • Collaborate with capex budgets and forecasts.
  • Support the Head of Property to effectively onboard new regional schools.
  • Timely conduct capacity survey visits as required.
  • Support all Heads to review, update and manage their annual capacity analysis surveys.
  • Support all Heads and Regional Property Director on drafting project capex proposals.
  • Engage with project leaders to ensure that facility related issues for acquisitions, new sites and capex projects have been adequately thought through and that plans are realistic and properly resourced.
  • Monitor the progress of facility issues for acquisitions, new sites and capex projects and intervene where necessary.

 

  1. OTHER MATTERS
  • Perform any related task that is assigned.
  • To be fully effective, the role requires interaction with colleagues, partners, and contractors at a variety of levels, including SLT, management, contractors and consultants, colleagues from supporting organizations that use the schools’ facilities and professionals from other schools who work in partnership with ISP schools.
  • Adhere to the Business policies, rules and procedures including, Health and Safety, Equal Opportunities, all other legislative responsibilities, governance and financial policies and procedures.
  • Ensure compliance to the organization’s Code of Conduct in the delivery and provision of services to staff and the community.
  • Close contact with governmental and other local agencies in ensuring that local regulations are complied with.
  • Continuously promote energy efficiency of our schools and the way we operate our buildings. Creating culture within all our school community to protect our environment.

 

Skills, Qualifications and Experience

 

  • Professional Qualified Architect, Engineer, or business (University Degree)
  • Master’s degree on Facility Management/Asset Management is a plus
  • Master´s degree on Project Management is a plus
  • 2 years+ of Facilities Management experience, preferably in a multi-site environment.
  • Project Management Experience (including management of new buildings)
  • Capex Management Experience
  • Excellent knowledge of MS Office applications is needed (Excel, Word, PowerPoint)
  • Strong interpersonal skills with the ability to build relationships at all levels of the organization and influence key stakeholders.
  • A methodical, highly organized approach to the execution of assigned tasks and responsibilities
  • Ability to work in a fast-paced environment
  • Attention to detail, strong writing, interpersonal and communication skills
  • Positive, proactive, passionate, personable, results orientated, ambitious professional, who is keen to progress within a global organization
  • Cross-functional teamwork experience and ability to work in a matrix organization
  • Fluent written and spoken English a requirement. Additional language skills an advantage
  • Diplomacy and consensus building skills to establish trust and credibility
  • Ability to handle confidential information with maturity and discretion
  • Capacity to take initiative and solve problems with minimal supervision
  • Strong people management skills
  • Ability to travel overseas occasionally
  • Previous experience working in the education sector would be an advantage, but not essential
