REPORTS TO:               Director of Prep Campuses

SALARY:                          $50,000 CAD

Purpose of Role

The Campus Coordinator is responsible for assisting the Director of Prep Campuses with the day-to-day operations of both the Central Park and Downtown Campus.

The ideal candidate must be organized, a team player, have good time management skills, good problem-solving, and critical thinking skills, prompt. and have good communication skills.

The candidate must be able to think and resolve issues in a calm and professional manner.

Key Responsibilities

Office Management

  • Reception Duties.
  • Monitor and assist Staff in the Absence of DOPC.
  • Liaise between staff and the Director of Prep campuses.
  • Address parent questions/concerns and escalate to DOPC as needed.                                                           

Day-to-day operations

  • Answering phones and parent inquiries.
  • Absence reporting.
  • Accident Reports – 360.
  • Covering lunches and supporting the classroom teachers as needed.
  • Supporting at drop off and pick up time.
  • Pikmykid management.

Upkeep of teacher/student records/data 

  • Assist in updating OSR working with inbound and outbound records.
  • Assist in the upkeep of any Allergies and special attention lists.
  • Assist in the upkeep of Teacher schedules.       

Other Responsibilities:

 Co-op program

  • Assist in the interviews of candidates for potential placements.
  • Assist in follow-up for potential employment (this includes ensuring that an internal evaluation is completed).

Trips, Activities, and Workshops

  • Assist in booking trips, and buses and plan monthly activities in collaboration with the teachers and the student life coordinator.

Tours

  • Assist with tours, assessments, and Open Houses.

Summer Camp - Coordinator July and August

  • Facilitates the pre-planning and prep work regarding camp including but not limited to the structure of the day, recruitment/enrolment of students, applications, planning excursions, etc.
  • Assists with identifying and the interview process of hiring Lead Teachers and facilitators.
  • Supervise and monitor Lead Teachers and Counsellors.
  • Participate in Summer Camp Debrief sessions.
  • Progress and end-of-camp reports.
  • Participate in pre-camp required process design sessions.
  • Oversee timesheets.
  • Assure all paperwork is kept accurate including but not limited to Transportation, attendance, Medical, class rosters, contact list for all staff, etc.
  • Maintain a current and accurate record of all children enrolled in the Summer Camp or on the waitlist.
  • Contact parents if the student is not showing up for the program.
  • Handle discipline and other issues will the assistance of the Learning Leader or Assistant HOS.
  • Ensure all training for Lead Teachers and Counsellors are complete. Camp Counsellor training, Safeguarding, Health, and Safety.
  • Other duties as assigned.

Qualifications and Experience

  • Bachelor’s degree.
  • 1 to 2 years of prior or relevant experience.
  • Current CRM (Customer Relationship Management) experience – preferably HubSpot
  • Ability to serve as a Brand Ambassador
  • Experience in a School or Private school sector
