Purpose of Role

We are seeking an Office Manager to support the Regional Managing Director and the Regional ISP team to oversee the smooth operation of our people based in Brazil. You will play a critical role in providing essential support to the RMD, her team and ensuring the efficient functioning of our office environment and all of our Regional team members.

Key Responsibilities

  • Provide support to the Regional Managing Director, including diary management and travel arrangements and her direct team.
  • Manage the ISP information email account and the central telephone line responding to and directing messages as appropriate.
  • Manage day-to-day office operations, including office supplies, equipment, mobile phones and facilities maintenance.
  • Coordinate administrative tasks such as scheduling meetings and booking flights and hotels for the wider Regional team.
  • Assist with the planning and execution of office events, meetings, and other special projects.
  • Oversee the reception and greet visitors, ensuring a professional and welcoming atmosphere.
  • Maintain accurate records and documentation, including filing systems and databases.
  • Act as a point of contact for internal and external stakeholders, addressing enquiries and providing assistance as needed.
  • Supporting with office Health & Safety and First Aid compliance.

 

 

Skills, Qualifications and Experience

  • Proven experience as an Office Manager or similar administrative role.
  • Strong organisational and multitasking abilities, with excellent attention to detail.
  • Excellent communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders.
  • Fluency in English; fluency in Spanish will be a plus.
  • Proficiency in Microsoft Office suite and other relevant software applications.
  • Ability to work independently and prioritise tasks in a fast-paced environment.
  • A proactive and positive attitude, with a willingness to contribute to a collaborative team environment.
