Purpose of Role
The Receptionist consistently works towards outstanding performance across all professional standards, ensuring safeguarding, successful outcomes and the efficient and effective administrative operations.
To work as part of the administrative team, providing a friendly and welcoming service to students, staff, families and visitors in a manner that truly reflects the values of our school. The post holder is expected to be able to prioritize tasks and to manage their workload initiative and minimum supervision.
The school’s pursuit of excellence begins at our front gates and this role should actively seek to ensure an outstanding public perception of our operations and provision.
ISP Receptionist Key Responsibilities
- To be the key School Receptionist providing general clerical and administration support under the delegation of the Head of Administration.
- To act as the first point of contact for all visitors to the school, signing in visitors, answering enquiries and relaying accurate messages to the appropriate person or department.
- To ensure that the reception/office area is tidy and welcoming at all times.
- To prompt answer and transfer all incoming telephone calls.
- To deal promptly, confidentially and sensitively with members of the public, staff and children.
- To prioritize, with diplomacy and confidentiality, student welfare duties.
- When required, to administer First Aid when needed and undergo other relevant medical training along with the Administration Team when requested.
- To take on PA assistance for the Principal when requested.
- To receive and sign for deliveries and notify reception to the required member of staff.
- To record the delivery and dispatch of external exam material.
- To distribute internal and external posts.
- To know and follow when needed the Emergency and Evacuation protocols.
- To access data from the ISAMS system, in particular to contact updates and absences/lates, and retrieval of data as requested for the purposes of reception.
- To ensure the accuracy of daily student attendance and punctuality.
- To report monthly attendance rate to the principal by the last day of the month.
- To contribute to the school vision that every child will achieve more than they imagined possible in a happy and inclusive environment where everyone is supported and encouraged to excel.
- To attend relevant training and meetings as required.
- Flexibility to provide evening/open day reception duties as required.
- To be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.
- To adhere to the school’s rules and regulations relating to confidentiality and the use of ICT, email and internet access.
Skills, Qualifications and Experience
Essential:
- Native level of English and Spanish
- Flexible, positive and “can-do” attitude to work
- Successful relevant experience
- Full understanding of Equal Opportunities and able to implement it in everyday practice
- To communicate clearly and resolve any issues quickly and professionally
- To have excellent management skills and to be able to follow the school’s disciplinary code
Desirable:
- Similar experience in a business or academic environment
