ISP Malaysia – Asia Pacific Schools

We are seeking to hire a Facilities Executive to commence employment as soon as possible.

Key Responsibilities

  • To manage the facilities team ensuring that work assigned, been attended promptly and update upon completion.
  • Ensure safety of all team members, always including sub-contractors when preparing duties.
  • Daily check email & helpdesk and respond on the works request by staffs & teachers within 24hrs and justify the priority of task to be executed.
  • Routine checks on facilities and equipment good condition emphasizing safety policy and compliance.
  • Works closely with Facilities Manager on daily job task and schedule of maintenance works.
  • Monitor contractors/vendors work, ensuring work completion as per schedule, quality of work and cleanness prior final sign off as per agreed scope of work.
  • Must be a problem solver on technical related matters and willing work extra hours, for special school event/ functions.
  • Supervise all service providers work such as security, cleaners, swimming pool, landscape, lift and others individual.
  • Support Facilities Manager on the annual budget planning, pricing, and sourcing quotations.
  • Raise RF upon approval to proceed with repair, renovation and other urgent repair or breakdown repair works.
  • Monitor request on the facilities booking, checking availability and itinerary request.
  • To check and verify service providers invoices, utilities bill prior submitting to the Facilities Manager.
  • Monitor and purchase of stationary item, pantry item, hardware item and spare parts item.
  • Inspecting school building, facilities and structure determining the need to repair or renovation.

Other duties and responsibilities  

  • Work collaboratively with others to develop effective professional relationships with subordinate.
  • Communicate effectively with parents, staff, and transporters.
  • Undertake any other reasonable duties requested/assigned as required by staff & teachers, especially regarding the classroom, facilities defect. 
  • Always follow the school’s policies and procedures. 

Communication, marketing, and PR

  • To ensure professional and effective communication and consultation, as appropriate, between colleagues, parents and students at Asia Pacific Schools.
  • Publicise and celebrate achievements.
  • Assist with the organisation of open evenings, consultation events and other events relating to the school.
  • To contribute to marketing activities for Asia Pacific Schools.

  • Fully and positively participate in the school’s performance appraisal scheme in order to develop and enhance personal and service performance.
  • Undertake any other reasonable duties requested/assigned as required by SLT or Line Manager, especially with regard to the school’s administrative functions.

Skills, Qualifications and Experience

  • Diploma/Degree in Electrical / Mechanical Engineering and Air Conditioning system.
  • Good communication and interpersonal skills
  • Able to work independently with minimum supervision.
  • Computer literate with strong written and oral communication skills.
