St George Madrid MIS & Exams Manager Role Profile
Purpose of Role
We are looking to recruit a professional school Exams and MIS (iSAMS) Manager to be responsible for the overall consistency, accuracy, integrity and security of student & academic data, and to manage the administration of external examinations.
This will involve working with our senior team to ensure student information is entered accurately into iSAMS, updated in a timely manner in relation to timetables and set-lists, and to facilitate performance and progress tracking. In addition, the post-holder would be responsible for the development and maintenance of the database, integration with third party systems, staff training and end user support.
In relation to the examinations part of the role, the post-holder would be responsible for the set-up and administration of the school’s external examinations, ensuring all stakeholders (students, staff, leadership and parents) are prepared for the upcoming examination sessions, and the examinations are carried out in accordance with the regulations provided by each of the examination boards in relation to our IGCSE and IB Diploma exams.
Role Specific Duties
Management of the school’s MIS (iSAMS)
● Ensure the accurate import/entry of data from admissions for new students. Share information with the appropriate staff in regards to students starting school.
● Import GL and other assessment data as identified by the academic teams into Gradebooks/tracking manager so that it can be effectively used by the school and departments as part of ongoing data tracking.
● Update and monitor gradebooks for the recording of summative assessment data according to the agreed annual cycles across subjects which enables the data to be pulled into tracking manager and reporting modules.
● Coordinate the administration of GL assessments in conjunction with the Admissions and Academic teams
● Ensure student data is accessible to staff
● Provide reports of attainment and progress from both internal and external data sources to the academic teams for analysis as requested.
● Set up and manage registration modules each year to ensure the effective recording of attendance.
● Provide reports for analysis on behaviour, detentions and attendance to the relevant pastoral leads.
● Set up and manage cover manager to ensure distribution of reserved cover slots; input duty information provided by the academic team
● Liaise with the school services manager to ensure after-school activity and bus route lists are accurate and maintained
● Facilitate summer school lists and manage the rollover of students into and out of this programme in liaison with the school services manager.
● Liaise with the finance department to ensure the accurate billing of additional services (after-school activities, breakfast club, summer school, buses)
● Manage the production of reports and interim reports on the progress of all the pupils in the school; as well as their storage against individual pupil profiles
● Respond to Internal/external queries in relation to data as necessary.
● Support relevant members of the academic team in implementing and managing results reviews and target setting
● Update timetables with regards to class changes, updates, etc. and provide new print outs to the students as required.
● To produce initial timetables for all students at the start of each academic year. Ensuring that class lists reflect those known to the Heads of Section.
● Roll over school systems within iSAMS at the end of each academic year and import new timetable, set and class information.
● To participate in the school’s performance management scheme, ensuring that performance standards and targets are set and met within the agreed timescale.
● To publish ISAMs user guides/ reports where a need is identified and support the training of staff in the use of iSAMS
● Stay up-to-date in regards to iSAMS development and make suggestions to the leadership team on proposed changes to modules and permissions.
● Manage access for parents and staff
● To undertake all reasonable other duties as directed
Management of the school’s External Examinations
● Ensure all students are able to access results and support their queries on results days.
● Process all students in all subjects for Estimated Entry for each exam session, liaising with appropriate SLT and HoY
● Process all students in all subjects for Full Entry for each exam session, liaising with appropriate SLT and HoYs
● Assist students with any questions they may have regarding examination issues
● Distribute all examination material, including curriculum updates, subject specific information sheets, mark schemes and examiner’s reports, coursework record sheets and actual examination papers, to SLT and HoDs
● Distribute publications booklets to SLT and HoDs and to coordinate purchase and payment
● Liaise with the Exams Access Coordinator in applying for special requirements or consideration and informing exam boards of centre-based extra time allowances
● Oversee HoDs arrangements for external moderation where needed
● Share information with Year 13 and Year 11 form tutors regarding IGCSE and IB Diploma exam schedules, concerns regarding conduct or other matters related to the administration of the exams
● Assist staff with any questions they may have regarding examination issues and ensure they are trained and compliant in regards to upcoming examination sessions and their regulations
● Produce an annual information and charges form for the upcoming exam sessions and pass invoicing information in relation to year 11 and year 13 students onto the finance team to ensure students are billed at the appropriate time.
● Be the first point of contact for parental enquiries about external examinations
● Liaise with Cambridge Assessment, Edexcel and the IB Diploma in regards to matters related to the administration of the examinations
● Liaise with the exam board accounts departments regarding invoicing, examination and moderation fees to ensure accurate invoicing.
● Apply for examination timing changes and changes due to examination clashes to the exam boards
● Process all Post-Result issues (access to scripts, clerical checks and remarks) ensuring correct paperwork is provided for students, parents and exam boards
● Process late entries, tier changes and student detail changes
● Process and return predicted grade sheets
● Produce a combined timetable for each exam session
● Process and secure examination stationary and papers as they arrive in centre and are dispatched securely and in line with regulations after examinations
● Ensure that examination rooms are set up with all required seating, labelling, stationary, communication, regulations, attendance registers, seating plans and examination papers for each examination session
● Ensure security of all exam material, before and after each exam
● Package and process coursework by the required exam board deadline date
● Keep a central record of all correspondence between the school and the external examination boards
● Prepare external invigilators as and when appropriate
