Facilities coordinator – BSW/EIN
 
Purpose of Role
We are currently seeking a Facilities Coordinator to oversee the day-to-day operations, safety, maintenance, and functionality of our school’s physical environment. The successful candidate will be responsible for ensuring that all school buildings, grounds, and facilities are safe, well-maintained, and fully operational to support a high-quality learning environment.
The position reports to the Country Facilities Manager (BSW/EIN) and will support the Facilities departments of both BSW and Einstein schools.
Key Responsibilities
Maintenance & Repairs:                                                                
  • Identify and support all maintenance and repair work across the school premises.
  • Ensure timely servicing of equipment, lighting, heating, ventilation, and plumbing systems.
  • Conduct routine inspections to identify areas needing attention and plan interventions accordingly.
Health & Safety: 
  • Ensure the school complies with all health, safety, and environmental regulations as per Polish regulations and ISP group policies.
  • Maintain up-to-date risk assessments and fire safety protocols.
  • Act as the primary point of contact for emergency procedures and drills.
Facilities Management: 
  • Manage the cleaning, waste disposal, and security of the school premises.
  • Supervise and coordinate with external contractors and service providers.
  • Monitor and maintain inventory of maintenance supplies and equipment.
Budgeting & Planning: 
  • Work together with Country Facilities Manager to support the preparation the facilities budget.
  • Support on minor construction or refurbishment projects.
  • Provide regular reports on the condition of the buildings and grounds.
 
Skills, Qualifications and Experience
  • Proven experience in facilities or property management (1-3 years), preferably in an educational setting.
  • Good knowledge of building systems (electrical, mechanical, plumbing, HVAC).
  • Familiarity with health and safety legislation and compliance.
  • Excellent organizational and problem-solving skills.
  • Proficient in using MS Office and basic facility management systems.
  • Flexibility to respond to urgent issues outside of normal working hours if required.
  • Fluency in English and Polish
  • Certification in Facility Management, Health & Safety, or a related field, highly desirable
  • Experience working in a school or educational institution, highly desirable.
  • First Aid and Fire Warden training, desirable
  • Project Management experience, desirable
